Job Opening: Administrative Assistant (Reception and Shipping) – Full-Time Position

Working closely with the Administrative Supervisor, you will be responsible for ensuring that the following tasks are carried out to the deadlines and quality defined by our customer.

📑 Receiving & Shipping Department :

Carry out administrative data entry of physical processes transmitted by logistics agents
Transmit the documentation required for customs clearance to the service provider appointed by our customer
Process flows in SAP ERP and Keep tracking software
Correct orientation of parts
Inform the customer of the various disputes by e-mail and ensure follow-up
Know how to identify flows to carry out tasks in accordance with our customer's requirements (CIVIL and MILITARY)
Call carriers for loading:
Via website such as DHL,UPS,TNT,FEDEX ....
Via e-mail for cab or dedicated transport runs
Follow-up on parcels awaiting processing (e.g. lack of documentation from our customer)
Report every evening on packages awaiting instructions.
Make the day's Receipts & Dispatches available every evening on our customer's Share Point

📊 Reporting & Quality Department :

Participate in causal analyses in the event of anomalies

Versatility and autonomy in all administrative activities, Reception & Shipping, are essential to deliver parts on D according to our customer's requirements.

You must be able to travel between the Châtellerault and Sorigny (37) sites. It is therefore essential that you be able to work at both locations as required by business needs.

⏰ Hours

Shifts are organized on a rotating basis between 7:00 AM and 6:30 PM. There are two shift schedules: 7:00 AM–3:00 PM and 10:30 AM–6:30 PM.

You have logistics experience or cross-functional skills.

Proficiency with computer software is required for this position, particularly Excel, email, and ideally SAP.

You should also be comfortable communicating with customers, whether by phone or email.
