Your mission

We are hiring for our Onet Services Essonne (91) branch:

 

HR/Accounting Assistant (M/F)

 

Reporting to the Agency Director and working as part of the administrative team, your main responsibilities are as follows: 

 

Secretariat 

  • Greet and inform internal and external contacts
  • Manage the switchboard
  • Mail processing 
  • Organize and coordinate schedules, arrange meetings, and prepare the documents needed to ensure they run smoothly
  • Handle "sensitive" information with confidentiality and multiple contacts
  • Plan and organize travel: book transportation, hotels, etc.

 

Administrative and commercial management

  • Classify and archive paper and electronic documents in accordance with current standards
  • Set up and maintain the customer/prospect database
  • Create and track the reference numbers for all customer contracts
  • Handle quotes and requests for proposals
  • Centralize inventory and order management

 

Budget Tracking and Billing 

  • Enter, check and approve expense reports
  • Carry out accounting operations (provisions, expenses, bank reconciliations, etc.)
  • Place orders, code and enter supplier invoices and forward them to the appropriate departments
  • Validate with the operations team and enter site invoicing data.
  • Ensure administrative follow-up of customer contracts and settlements (reminders, price revisions, etc.).
  • Create and enter internal chargebacks
  • Drawing up and updating dashboards 

 

Human Resources Management 

  • Contribute to personnel management and administrative follow-up 
  • Hiring formalities: declarations, contracts, etc.
  • Track work-related accidents, sick leave and medical check-ups 
  • Participate in the production of the agency's payroll (tallying and data entry)
  • Monitor disciplinary procedures and termination of employment contracts
Your assets

You have a background in SME/SMI management and have demonstrated successful initial experience in this type of position, particularly in payroll and accounting.

Are you familiar with payroll and accounting software (knowledge of HR Access or PeopleSoft would be a plus) and proficient with computer programs (Office Suite, Outlook, etc.)?

You are recognized for your commitment and dedication. You are a good listener and patient. Your rigor and ability to manage priorities enable you to meet deadlines.

You are able to exercise discretion and confidentiality.

You have good interpersonal skills, are able to organize yourself and work both independently and as part of a team.
