Your mission

We are recruiting for the Agen agency :

 

Administrative Assistant M/F

 

Reporting to the Branch Manager, your main tasks are :

Secretariat:

- Greet and inform internal and external contacts
- Take telephone calls: relay the call to the right person, take messages and distribute them in good time, provide a first level of information
- Handle incoming and outgoing mail
- Organize and coordinate agendas, organize meetings and appointments, and prepare the documents required for their smooth running
- Draw up minutes and files based on notes taken in meetings
- Treat "sensitive" information with confidentiality when dealing with multiple contacts
- Identify the relevant contacts for each case
- Format documents - Edit and photocopy documents
- Anticipate and organize travel: Hotel and transport reservations, preparation of mission orders, commitments, roadmaps
- Carry out any tasks or missions requested by a manager.
  

Administrative and commercial management:

- Set up an accessible filing and archiving system
- File and archive paper and electronic documents according to current standards
- Set up and update the customer/prospect database
- Set up and monitor the listing of all customer contracts
- Research information and documents to put together files tailored to a specific target
- Process quotes and calls for tender
- Centralize inventory and order management

  
Budgeting and invoicing :


- Carry out accounting operations (provisions, expenses, bank reconciliations, etc.)
- Place orders, code and enter supplier invoices and forward them to the relevant departments
- Validate with the operations team and enter site invoicing data
- Ensure administrative follow-up of customer contracts and settlements (reminders, price revisions, etc.)
- Create and enter internal re-invoicing
- Check work orders and invoices

 

Your assets

 Equipped with a good knowledge of IT tools, you are recognized for your rigor, your ability to work in a team and your autonomy. You are comfortable with figures and have strong interpersonal skills.

You have a BTS-type qualification in management, and 3 years' successful experience in a similar position.

You are recognized for your commitment and dedication. You are a good listener and patient. Your rigor and ability to manage priorities enable you to meet deadlines.

You are able to exercise discretion and confidentiality.

You have good interpersonal skills, are able to organize yourself and work both independently and as part of a team.
