Every year, we are committed to supporting interns and work-study students, helping them to obtain their diplomas while training them in our professions.
As a member of the Marseille Business agency's administrative team, you will be responsible for the following tasks:
o Organizing and coordinating agendas, arranging meetings and appointments and preparing the documents required for their smooth running
o Identify the appropriate contacts for each case
o Draw up minutes and files from notes taken at meetings
o Handle "sensitive" information with confidentiality and multiple contacts
o Anticipate and organize travel: Hotel and transport reservations, preparation of mission orders, commitments, roadmaps
o May coordinate the organization of service-related events: seminars, customer meetings, trade shows, etc.
o Greet and provide information to internal and external contacts, and ensure they settle in on site (parking, badges, access, etc.).
o Take telephone calls: relay the call to the right person, take messages and distribute them in good time, provide a first level of information.
o Handle incoming and outgoing mail
o Set up an accessible filing and archiving system, format documents
o Classify and archive paper and electronic documents in accordance with current standards
o Manage supply orders
o Enter, check and approve expense reports
o Receive and forward daily public tender publications
o Participate in the preparation and formatting of the administrative and/or commercial part of public tenders or private consultations
o Carry out and check the marketing support for the sales offers within its scope
o Check the conformity of bids, administrative documents and references included in public tenders or private consultations.
You are preparing a Bac +2 qualification, equivalent to a BTS GPME or a BTS SAM on a sandwich course.
You are recognized for your commitment and dedication. Your rigor and ability to manage priorities enable you to meet deadlines. You demonstrate discretion and confidentiality. Good oral and written communication skills are essential.
You have good interpersonal skills, are able to organize yourself and work both independently and as part of a team.
