You will assist the Contract Manager with the day-to-day management of the client contract.
You organize and coordinate internal and external communications related to the facility’s operations between the client, operations managers, and suppliers.
You are responsible for the full management of routine tasks: tracking requests, following up with clients and suppliers, requesting and issuing quotes, and processing small invoices. You handle emergencies in the absence of the Contract Director.
Activities
Record and document customer requests and complaints,
Manage the follow-up schedule,
Process information (collect, file, and update),
Prepare quotes,
Ensure the transmission of information internally and externally,
Enter digital documents,
Track the progress of cases,
Monitor activities and update tracking tools,
Archive reference documents in shared tools,
Classify documents, information, and document collections related to an activity
Monitor the terms of execution for contracts or supplier bids (organization and monitoring of work, invoicing, etc.)
Desired skills:
• Strong organizational skills and attention to detail
• Proficiency in office software (Office Suite, etc.)
• Administrative management skills
• Proficiency in filing and archiving methods
• Ability to read and interpret technical documents (blueprints, etc.)
• Proficiency in note-taking and summarization techniques
• Use of collaborative tools (Teams, SharePoint, etc.)
This position is based at the client’s site and involves working with various stakeholders: clients, Contract Managers, Operations Managers, the accounting department, Operations Directors, and service providers. It is open to candidates with a two-year post-secondary degree (such as a BTS or DUT) in executive assistance or equivalent training/experience.
If you are motivated and hardworking, you already have strong qualifications for this position. Your discretion will also be highly valued. Prior experience in a similar role is preferred, but all applications will be considered.
