Onet Logistique & Production is looking for an administrative manager on fixed-term contract to work on mailroom activities for its customer at an aeronautical/military site in Floirac (33).
The Administrative Manager carries out a wide range of administrative tasks according to defined processes (analysis of input data or complex documents to produce a final file or document, office data entry of correspondence or data, management of administrative files) and transmits information (e-mail, notes, telephone, secure platforms, etc.) according to the organization of the structure or department.
Reporting to the Team Leader, your main tasks are :
- Sort and deliver mail or documentation according to schedules and deadlines.
- Establish/update databases, analyze, index and exploit documents.
- Manage a portfolio of files, taking into account objectives, means, constraints and deadlines.
- Manage an archive database and carry out follow-up (reporting, data, documents, stock).
- Write a report, a simple or complex activity report/dashboard.
- Carry out accounting operations (compliance between request and allocated budgets).
- Carry out a complex documentary search.
- Update a documentary repository.
- Correct data to comply with the customer's standard (numbering, marking, links).
- Deal with non-conformities, analyze/research, justify the application of the process and propose solutions to the customer/supplier after validation by the team leader.
- Carry out complex data searches in various tools and documents in order to create a technical file/access authorization, requiring analysis and verification.
- Write operating/process instructions for the use of specific computer applications.
- Check input data for completeness, exchange by e-mail to obtain missing data.
- Enter/integrate/control data on specific processing software.
- Organize output planning for customer production output rotations.
- Transmit output data to contacts specified by the customer.
- Ensure follow-up of all files, alerting the Team Leader/Technical Leader or the customer in the event of delays.
- Deal with disputes (identification of erroneous data) with the appropriate customer/supplier contacts.
- Pass on information on file progress at customer operational meetings.

You are proficient in the use of office automation tools (Pack Office).
